Frequently Asked Questions
What does Outbuild Submittal software do?
Outbuild connects Procore submittals to your Outbuild schedule so you can see approval risk on the Gantt, tied to the work it affects. You get a quick visual on which activities have submittals, and whether those submittals are on time, in draft, or delayed.
How does the Procore submittals sync work?
You connect your Outbuild project to your Procore project, then publish your Outbuild schedule to Procore so Procore has the latest schedule version. In Procore, each submittal gets a Schedule Task dropdown. That dropdown lists activities from your Outbuild schedule. Select the activity, save, and Outbuild shows the linked submittal on the schedule and in the activity card.
Do teams need to update spreadsheets to track submittals?
No. The schedule becomes the working view. Submittals show as icons on the Gantt, and the activity card shows the submittal details pulled from Procore. Teams stop reconciling a separate tracker to figure out which approvals are driving the plan.
What does “risk status” mean on the schedule?
Outbuild color-codes the submittal icon based on Procore status and timing.
Red means delayed.
Blue means open and on time based on lead time.
Gray means draft.
Supers and PMs can scan the schedule and see where submittals are blocking work without opening a log first.
What is the Automatic Procurement Log?
A procurement log you build in Procore using a custom report, with a key field driven by Outbuild. Required on-site date is pushed from Outbuild into Procore so the report stays tied to the schedule. You can customize the report fields and export it for anyone with Procore access.
Where do required on-site dates come from?
From your Outbuild schedule. Required on-site date equals the start date of the linked activity. When you change the schedule, Outbuild updates the required on-site date. Then, when you publish a new schedule update to Procore, Procore reflects that new required on-site date.
Does this help reduce missed approvals and late materials?
Yes. Linking submittals to schedule activities makes delays visible where the team plans work. It also lets you build a Procore procurement report where the required on-site date stays aligned to the schedule, so long-lead items and approval timing stay in front of the team.
What happens when a submittal goes overdue?
The icon on the Gantt turns red for the linked activity, signaling a delayed submittal. Open the activity card to see the submittal details pulled from Procore, then click the submittal number to jump straight into Procore and take action.
